Position and Responsibilities

Position Overview: We are seeking a detail-oriented and highly organized Accounts Payable (AP) Clerk to join our finance team. The AP Clerk will be responsible for ensuring accurate and timely processing of all accounts payable transactions, maintaining strong relationships with vendors, and supporting the overall financial operations of the company. This role requires a strong understanding of accounts payable processes, excellent communication skills, and a keen eye for detail.

Key Responsibilities:
  1. Payable Processing
  • Process and verify invoices for accuracy within online payable portal
  • Assist generating recurring invoices for monthly payables
  • Generate payment reconciliation reports
  • Assist printing and processing physical check payments
  • Respond to vendor inquiries in a professional and timely manner
  1. Vendor Record Maintenance
  • Create, update, and maintain up to date vendor records in payable portal and accounting software
  • Monitor vendor payment information for security and accuracy
  • Verbally confirming payment instructions
  1. Treasury Processing
  • Prepare electronic transfers and payments
  • Process incoming check deposits
  • Maintain and organize AP files and documentation for record-keeping and audit purposes
  1. General Finance Team Task
  • Assist with month-end closing activities related to accounts payable
  • Collaborate with internal departments to resolve any AP or Treasury-related issues
  • Assist in drafting, maintaining and executing standard operating procedures
  1. Ad Hoc Projects
  • Participate in special projects related to Accounts Payable and/or Treasury, finance as required

Qualifications:

  • High school diploma or equivalent; an associate's degree or higher in accounting or finance is a plus
  • Proven experience as an Accounts Payable Clerk or in a similar role preferred
  • Familiarity with accounting software (e.g., QuickBooks, SAP, Oracle) and strong data entry skills.
  • Familiarity with online payment platforms
  • Proficiency in Microsoft Office, particularly Excel.
  • Excellent attention to detail, accuracy, and organizational skills.
  • Strong communication and problem-solving abilities.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
